Every time an animal arrives, your rescue can record how it came: a stray, an owner surrender, a transfer in, a return. The **Intakes** page lists those arrivals across every animal and, most of all, counts why animals were surrendered, which is the number a rescue puts in a grant application. Open it from the search palette by typing "Intakes" (see [Finding your way](/getting-started/finding-your-way)). Anyone who can **See** Animals can read the page. Recording or correcting an arrival needs **Change** on Animals. An animal can arrive more than once: adopted, returned, adopted again is two arrivals, and both are kept. ## Recording how an animal arrived The [intake form](/animals/adding-an-animal) adds the animal; it does not record how it arrived. That is done on the animal's record, on the **Profile** tab, in the **How they arrived** card. A short form opens in the card. See the fields below. The arrival is added to the card and to the Intakes page. | Field | What it means | | --------------------------- | ------------------------------------------------------------------------------------ | | **How** | The intake type. See [Intake types](#intake-types). Starts at Stray. | | **When** | The day it arrived. Starts at today. | | **Why** | For an owner surrender only. See [Surrender reasons](#surrender-reasons). | | **Notes** | For an owner surrender: anything more about why. | | **Found where** | For a stray: where it was found. | | **From which organization** | For a transfer in: who it came from. | | **Condition on arrival** | **Healthy**, **Minor issues**, **Serious**, **Critical** or **Deceased on arrival**. | The **Intake source** on the animal (asked on the intake form, and shown in the **Intake details** card below this one) is a separate, single answer. The arrivals in **How they arrived** are the full history, and they are what this page counts. The card lists every arrival, the most recent first and set apart as the current one. Each reads as one line, such as "Stray · found at Main St park" or "Owner surrender · Moving", with its date, its condition and its notes. ### Correcting an arrival Press **Edit** beside an arrival to change it, then **Save**. Changing the type clears the details that belonged to the old one: a surrender corrected to a stray loses its surrender reason and notes. ### Arrivals recorded for you Two arrivals are recorded without anyone filling in the form: * **A return from adoption.** When an adoption is reversed with **Reverse this adoption** on the adoption's page, a **Returned** arrival is recorded, dated the day it came back, with the reason as its note and a link, **View the adoption it came back from**. See [Adoptions](/animals/adoptions). * **An animal from a partner rescue.** When you accept an animal on [Transfers](/animals/transfers), it arrives with a **Transfer in** arrival from that rescue. ## Intake types | Type | Meaning | | ------------------- | ------------------------------------------------------- | | **Stray** | Found with no known owner. | | **Owner surrender** | Given up by its owner. The only type that asks **Why**. | | **Transfer in** | From another organization. | | **Born in care** | Born while its mother was in your care. | | **Returned** | Came back, such as from an adoption. | | **Confiscation** | Taken in by seizure. | | **Unknown** | Nobody knows yet. You can correct it later. | | **Other** | None of these. | ## Surrender reasons A surrender reason is chosen from a fixed list, so it can be counted: * Moving * Landlord / housing * Allergies * Behavior * Cost of medical care * No time * Owner died * Owner illness * Too many pets * Financial hardship * New baby or child * Found stray, kept too long * Other ## The Intakes page ### The numbers at the top | Number | What it counts | | -------------------- | ----------------------------------------------------------------------- | | **Intakes** | Every arrival recorded. | | **Owner surrenders** | How many were owner surrenders, and what share of all arrivals that is. | | **Returns** | How many were returns. Amber when there are any. | | **Top reason** | The most common surrender reason, and how many animals it covers. | These numbers count every arrival, whatever you have filtered the list to. When a filter is on, **Intakes** says so: "every arrival in this period, not just the filtered list". ### Why animals were surrendered Below the numbers, a card lists each surrender reason that has been used, most common first, with a bar, the number of animals and its share of all surrenders. Press a reason to filter the list to it; press it again to clear. ### Filters The panel beside the list has two filters, each showing how many arrivals it would give you: * **How they arrived**: one intake type. * **Why they were given up**: one surrender reason. Each has its own **Clear**. **Views** saves the filters you use most. ### Columns | Column | What it shows | | -------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------ | | **Animal** | The animal's name. Press it, or anywhere on the row, to open the record. | | **Arrived** | The date of the arrival. | | **How** | The one-line summary: the type, and for a surrender the reason, for a stray where it was found, for a transfer who it came from. Returns are shown in amber. | | **On arrival** | The condition it arrived in. | The newest arrivals come first. **Columns** chooses which columns show; **Animal** is always shown. Arrivals also appear on the [Calendar](/everyday/calendar) on the day they arrived.
