> ## Documentation Index > Fetch the complete documentation index at: https://docs.rescueconsole.com/llms.txt > Use this file to discover all available pages before exploring further. # The animals list > Finding animals: the columns, search, filters, saved views, bulk changes and export on the Animals list. **Animals** in the sidebar opens the list of every animal your rescue holds. It is where you find an animal, narrow the list to the ones you are working on, change many records at once, and take the list away as a spreadsheet. Anyone who can **See** Animals can open it; selecting rows, bulk changes, **New intake** and deleting need **Change** on Animals. The list opens showing animals **In care**, newest intake first. Every filter, the search, the sort and the page are kept in the page's address, so a filtered list can be refreshed, bookmarked or sent to a colleague and it opens the same way. ## The numbers at the top A strip of counts sits above the list. | Count | What it means | | --------------- | ------------------------------------------------------------------------------------------------------------------ | | **All animals** | Every animal on file. When you have ticked a species, it reads **Selected species** and counts only those species. | | **In care** | How many of those are in care. | | **Results** | How many animals match everything you have chosen: the rows the list holds. | The first two change only with the species you tick. Everything else you filter moves **Results** alone, so you can read the result against them: 40 in care, 6 results. When your rescue has set up housing, a line under the strip reads **Housing** with the number of places, how many animals are in them and how many are free, and a **See it at a glance** link to the [Housing board](/animals/housing). ## Columns The list starts with **Name**, **Status**, **Age**, **Breed**, **Last updated** and **Tags**. The **Name** cell shows the profile photo, the name, and the species, sex and size underneath. Press **Columns** to add or remove columns. **Name** is always shown. **Reset to default** puts the starting set back. Your choice of columns is remembered in this browser on this device, and is not shared with anyone else. | Column | What it shows | | ---------------- | --------------------------------------------------------------- | | **Name** | Photo, name, and species, sex and size. | | **ID** | The animal's ID. | | **Status** | The status, in your organization's colour for it. | | **Age** | Worked out from the date of birth. | | **Breed** | The breed, or kind. | | **Last updated** | How long ago the record last changed. Hover for the exact time. | | **Tags** | Every tag on the animal. | | **Species** | The species. | | **Sex** | Male, female or unknown. | | **Altered** | Whether it is spayed or neutered. | | **Health** | The health status. | | **Microchip** | The microchip number. | | **Location** | Where it is housed. | | **Intake date** | The date it came in. | | **Outcome date** | The date it left, if it has. | | **Adoption fee** | The fee set on the record. | | **Public** | Whether the animal is shown publicly. | | **Description** | The start of the description. | | **Created** | How long ago the record was created. | ## Sorting Press a column heading to sort by it, and press it again to reverse the order. You can sort by **Name**, **Status**, **Age**, **Breed**, **Last updated**, **Species** and **Intake date**. **Age** sorts by date of birth. **Tags** cannot be sorted, because an animal can carry several. ## Table and gallery **Table** and **Gallery** switch between rows and photo cards. A card shows the profile photo with the status on it, the name, the breed, and the species, sex and size. The same filters, sort and selection apply in both. The gallery is the quickest way to see which animals still need a photo. ## Search The search box finds animals by name, breed, microchip number or ID. It matches part of a word: "bell" finds Bella and Tinkerbell. ## Filters The panel beside the list holds the everyday filters. Each shows how many animals each choice would give you, counted against the other filters you have set. A choice that would give you nothing is greyed out. | Filter | What it does | | -------------- | --------------------------------------------------------------------------------------------------------------------------------------------------------- | | **Status** | Tick one or more statuses. Several ticked means any of them. The first five show, then **Show N more**. | | **Care state** | **In care**, **Placed** or **Out of care**. One at a time. Which statuses count as which is set under **Settings → Animal management → Animal statuses**. | | **Species** | Tick one or more. | | **Location** | One housing location. Only locations that hold an animal are listed. | | **Tags** | Tick one or more. | Each filter has its own **Clear** beside it. To see every animal your rescue has ever held, clear **Care state**. ### More filters **More filters** opens a panel of every other field you can filter by, including your own custom fields. Tick a field on the left under **Available filters**, set its value on the right under **Active filters**, then press **Apply filters**. Nothing changes until you do. * A date field takes a from date and a to date. A number field takes a minimum and a maximum. Fill in one end or both. * A text field matches anything that contains what you type. * A yes or no field, and a field with a fixed list, offers **Any** and its choices. Unticking a field removes it. **Clear all** removes every one. The button reads **More filters (N)** while N of them are in use. ## Saved views A saved view is a filtered, sorted list you come back to, such as "Cats needing a photo". They are listed under **Views** at the top of the filter panel. Choose the filters, search and sort you want. Press **+ Save current view**, type a **View name** and press **Save**. Press a view's name to open the list that way again. To delete a view, point at it and press the bin icon. Saved views are your own: nobody else sees them. A view keeps the filters in the side panel, the search and the sort. It does not keep what you chose under **More filters**. ## Opening an animal Press anywhere on a row, or on a card in the gallery, to open the [animal record](/animals/record). For people who can change animals, the pencil icon at the end of a row opens the record too. ## Adding an animal **New intake** opens the intake form in a panel beside the list. See [Adding an animal](/animals/adding-an-animal). ## Selecting animals Tick the box on a row, or on a card, to select it. The box in the heading selects every animal on the page. The toolbar is replaced by a bar that says how many are selected. When the whole page is selected and more animals match than fit on it, **Select all N matching** selects every animal the filters match, not only this page. Changing the filters, the search, the sort or the page clears the selection, so a bulk change only ever touches animals you can see were chosen. The **X** at the end of the bar clears it too. ## Bulk update With animals selected, press **Edit fields…** to open **Bulk edit selected**. Tick a field under **Select fields to update**, choose its new value under **Set values**, and press **Update**. A field you do not tick is left alone. The names of the selected animals are listed at the bottom so you can check them before you press **Update**. | Field | What it does | | --------------------- | ------------------------------------------------------------------------------------ | | **Status** | Sets the status. Only statuses your organization has switched on are offered. | | **Species** | Sets the species. | | **Sex** | Male, Female or Unknown. | | **Spayed / neutered** | Sets whether the animal is altered. | | **Health status** | Sets the health status. | | **Breed** | Sets the breed. | | **Location** | Moves every selected animal to one housing location. | | **Adoption fee** | Sets the fee, in dollars. | | **Show publicly** | Yes or No. | | **Add a tag** | Adds one tag to every selected animal. Animals that already carry it are unaffected. | | **Remove a tag** | Removes one tag from every selected animal. | | **Add to an event** | Adds the animals to one of your events. | When it is done, a line says how many animals changed and how many already had that value. * One bulk change can touch at most 200 animals. If more are selected, nothing changes and the message says how many matched: narrow the filters and repeat. * A field change is recorded in each animal's **History**, as if it had been edited on its own. Adding or removing a tag is not. * Setting a status marked **Ends foster** ends the animal's current foster placement. Names, IDs, microchips, dates of birth and descriptions cannot be changed in bulk. They belong to one animal each. ### Adding a medical record to many animals **Add medical record…** in the selection bar records the same vaccine, test, treatment or procedure on every selected animal, with a row for each. It takes at most 100 animals. See [Adding a record to many animals](/animals/medical#adding-a-record-to-many-animals). ## Deleting and archiving The bin icon at the end of a row deletes that one animal. The list asks you to confirm and names the animal first. To remove several at once, select them, press **Edit fields…**, and press **Archive N animals** at the top of the panel, then confirm. Either way, the animal stops appearing in lists and reports. Its history, medical records and any adoption stay where they are. ## Export **Export CSV** downloads the animals that match your current filters and search as a spreadsheet. Every matching animal is exported, not only the page you are on, up to 5,000, newest intake first. It offers two choices: * **Visible columns**: the columns the table shows. **Tags** and **Location** are not exported. * **All fields**: the record's ID, the animal's ID, name, species, breed, sex, date of birth, status, health status, altered, microchip, intake date, outcome date, adoption fee, public, description, and when the record was created and last updated. Tags, housing and custom fields are not in the export. ## Rows per page The control under the list sets how many animals show on a page: 15, 25, 50 or 100. The list starts at 25.
