# The Communications log

> Every email your organization has sent, who it went to, and what became of it.

The Communications log is a record of every email your organization sends: replies from the inbox, new messages from Compose, and messages a workflow step sends. It answers "did that email go, and did it arrive?" It is read, never edited.

Open it from **Settings → Advanced & security → Communications log**, or press **Communications log** on **Message templates**. It needs **Configure** on Communications, because it lists mail from every mailbox in the organization.

## The list

Newest first. The column button chooses which columns you see; **Sent/received** is always shown.

| Column        | What it shows                                                       |
| ------------- | ------------------------------------------------------------------- |
| Sent/received | When the message was sent or received.                              |
| Direction     | **outbound** for mail you sent, **inbound** for mail received.      |
| Recipient     | Who it went to. A message to several people lists each address.     |
| Subject       | The subject as it was written.                                      |
| Category      | What sent it. See below.                                            |
| Provider      | The email service that handled it. Blank when it never reached one. |
| Status        | What became of it. See below.                                       |

### Categories

| Category     | What sent it                            |
| ------------ | --------------------------------------- |
| inbox\_reply | A reply in a conversation in the inbox. |
| inbox\_new   | A new message from Compose.             |
| workflow     | A workflow step that sends a template.  |
| general      | Anything else.                          |

## Statuses

A status only moves forward, so a late report of delivery never hides a bounce.

| queued     | Handed over for sending, with no answer yet.                                                                                                                                                                                                                           |
| sent       | The email provider accepted it. No report of delivery has come back yet.                                                                                                                                                                                               |
| delivered  | The recipient's mail server accepted it.                                                                                                                                                                                                                               |
| failed     | It was not delivered. The provider refused it, or the recipient's mailbox could not take it just then, for example because it was full. A workflow's message also fails while outgoing mail is paused (see [Sending](/communications/sending#when-sending-is-paused)). |
| bounced    | The recipient's mailbox does not exist. The address is put on the do-not-send list for every organization.                                                                                                                                                             |
| received   | A message that arrived.                                                                                                                                                                                                                                                |
| suppressed | Not sent, because the person opted out or the address is on the do-not-send list.                                                                                                                                                                                      |

Opens and clicks do not change a status.

<Note>
  A reply or a new message that is refused before it is sent is not recorded here: someone on it opted out, an address is on the do-not-send list, a placeholder was left unfilled, or outgoing mail is paused. The page you were writing on says why instead. A workflow step's message to someone who opted out, or to an address on the do-not-send list, is recorded as **suppressed**. ## Filters

| Filter    | What it does                                                  |
| --------- | ------------------------------------------------------------- |
| Direction | **outbound** or **inbound**.                                  |
| Status    | One status from the table above.                              |
| Category  | Type a category exactly as it is written, such as `workflow`. |

## Message detail

Press a row to see its detail below the list. **Close** hides it again.

| Field          | What it means                                                                                                                              |
| -------------- | ------------------------------------------------------------------------------------------------------------------------------------------ |
| ID             | The message's own ID. Quote it when asking for help with a message.                                                                        |
| Channel        | Always email.                                                                                                                              |
| Person         | The ID of the person record it was addressed to, when it was addressed to one (the first, when there were several). A reply records none.  |
| Related entity | For a reply or a new message, the conversation it belongs to. For a workflow's message, the kind and ID of the record the workflow ran on. |

Under these fields are the details kept with the message. For a reply or a new message, they include the conversation, the mailbox it was sent from, the ID of the team member who sent it and, if it failed, the reason the provider gave. For a workflow's message, they include each attempt at sending it and any copies, with the copies that were dropped because their address is on the do-not-send list.
