# Calendar

> The calendar's five views, what appears on it and where each item comes from, and how to filter it.

The calendar shows "Everything dated across the modules you can see: medical due dates, shifts, arrivals, adoptions and tasks." Open **Calendar** in the sidebar.

Nothing is added to the calendar directly. Each item comes from a record somewhere else in RescueConsole, such as a task's due date or a medical item's due date, and changes when that record changes.

What you see depends on your role: items from a workspace your role cannot read are left out, and so are their filters.

## Views

Choose a view with the buttons at the top right: **Month**, **Week**, **Day**, **Agenda** or **Staff**. Weeks run Sunday to Saturday.

The arrows beside the date move back or forward a month, a week or a day, depending on the view. **Today** comes back to the present.

| View | What it shows |
| ---------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Month** | The month as a grid. Each day shows up to three items, then **+N more**, which opens the rest. Days from the months either side are shaded, and today is marked. |
| **Week** | Seven days. |
| **Day** | One day. |
| **Agenda** | Everything from today to two months ahead, as a list grouped by day. |
| **Staff** | One week, grouped by who is on each item. See [Staff](#staff). |

### Hour grid or list

**Week** and **Day** can be shown two ways, chosen with the two buttons beside the views:

* **Hour grid**: timed items as boxes against the hours of the day, so you can see what overlaps. Items at the same time sit side by side. The grid runs from 7 AM to 7 PM, and stretches to fit anything earlier or later. Items with no time, such as a vaccination due that day, sit in an **All day** band above the grid.
* **List**: each day's items in order. In **Day**, all-day items are under **All day** and timed ones under **Through the day**.

On a phone, the list is easier to read.

### Staff

**Staff** answers "who is covering what this week". Each person gets a card listing the items they are on, with the day and time of each.

Only items that can have somebody on them are here: shifts (the people booked on them), tasks (the person each is for) and meet and greets (the people meeting the applicant). A medical due date or an arrival is about an animal, not a person, so it is left out.

**Nobody yet** comes last: "Shifts and tasks nobody has taken on yet." It is the list to work through when filling gaps.

## What appears on the calendar

Each item shows its title and, where there is one, its time. Point at an item in **Month** or the week list to see its detail line; in the other lists the detail is shown under the title, with where the item came from on the right. Click an item to open what it is about, as the table says.

| ----------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------ | ------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Tasks** | A task with a due date, on that date. Tasks that stand for a medical item or a meet and greet are not shown twice: the medical item or the meet is shown instead. | The task's title, and who it is for. | The animal, for a task about an animal; the Tasks page, for a task about another kind of record. An organization to-do is not a link. See [Tasks](/everyday/tasks). |
| **Medical due** | A medical item with a due date. It has a time when the item was given a start time; otherwise it is all day. | The animal's name and the item, such as "Biscuit: Rabies vaccine". | The medical record. See [Medical](/animals/medical). |
| **Shifts** | A volunteer shift, at its time. | The name of the schedule it belongs to, or **Session** when it has none, then how many places are filled out of how many, and where. | The Shifts page. See [Shifts](/shifts/shifts). |
| **Schedules** | A schedule in Shifts, unless it is still a draft. It can be timed or all day, and span several days. | The schedule's name, then its kind and where. | The Schedules page. See [Schedules](/shifts/schedules). |
| **Meet & greets** | A meet and greet set on an application. Timed when it was given a time. | "Meet & greet:" and the applicant, then which animals, who is meeting them, and where. | The application. See [Applications](/animals/applications). |
| **Adoptions** | An adoption, on its adoption date. | The animal's name and "adopted", then the adopter. | The adoption. See [Adoptions](/animals/adoptions). |
| **Arrivals** | An animal's intake, on its intake date. | The animal's name and "arrived", then the kind of intake. | The animal. See [Intakes](/animals/intakes). |
| **Into foster** | The day a foster placement started. | The animal's name and "into foster", then the foster carer. | The link does not reach the animal. Open the animal from [Foster homes](/animals/foster-homes) instead. |
| **Out of foster** | The day a foster placement ended. Only placements that have actually ended appear: an expected return date is not a date on the calendar. | The animal's name and "out of foster", then why it ended, or the foster carer. | As for **Into foster**. |

Tasks appear for everyone, narrowed to the tasks you can see. **Medical due**, **Meet & greets**, **Adoptions**, **Arrivals**, **Into foster** and **Out of foster** need your role to read Animals. **Shifts** and **Schedules** need it to read Shifts.

### Colors and states

Each item has a state, shown by its color:

| State | Color | What it means |
| ------------- | ---------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Overdue** | Red | A task or medical item whose date has passed and is not done. |
| **Due** | Amber | A task or medical item not yet done and not yet late, or a meet and greet whose day has passed without being marked completed. |
| **Scheduled** | The app's accent color | A shift, schedule or meet and greet still to come. |
| **Done** | Gray | Finished: a task done, a medical item given, a shift completed, an adoption, an arrival or a foster move. |
| **Cancelled** | Gray, struck through | A cancelled shift or schedule, a reversed adoption, or a declined foster placement. They stay on the calendar so the day still says what happened. |

A timed item appears on the day and at the time it falls where you are.

## Filters

Above the calendar, **In view** counts the items the calendar is showing, and **Overdue** counts the ones that are overdue.

Beside it are two filters, each with counts. You can choose more than one option in each:

* **Source**: which kinds of item to show, from the table above. Only the kinds your role can read are offered.
* **State**: **Overdue**, **Due**, **Scheduled**, **Done** or **Cancelled**.

Press **Clear** beside a filter to show everything again.

<Note>
There is no **Source** option for meet and greets. They show when no source is chosen, and are hidden as soon as you choose one.
</Note>

## When part of the calendar cannot load

If one part of RescueConsole cannot be reached, the calendar says so above the view: "Couldn't load" and the part, then "Anything from it is missing from this view." The **Overdue** count and the filter counts for what could not be loaded show a dash rather than a zero, because a zero would say nothing is due. Reload the page to try again.

The calendar cannot be subscribed to from another calendar app.
