# Documents

> Uploading files, filing them against an animal or the organization, expiry dates, and who can see and delete them.

Documents are the files your rescue keeps, such as a rabies certificate for an animal or the organization's insurance certificate. Each one has a title, a category and, if it lapses, an expiry date, and is filed either against a record or against the organization as a whole.

Open **Documents** in the sidebar to see every document you are allowed to see, in one list. An animal's own documents are also on the **Documents** tab of its record.

## Who can see and change documents

A document is as private as the record it is filed against:

* A document filed against the organization is seen by everyone who can sign in. Anyone whose role can change at least one workspace can upload or delete one.
* A document filed against an animal is seen only by people whose role can read Animals. Uploading or deleting one needs a role that can change Animals.

The same rule covers any other kind of record a document is filed against: you see it if your role can read that workspace. The list, the counts and the filters never include documents you cannot see.

## The Documents page

"Everything filed against the records you can see, plus the organization's own paperwork." The newest documents are at the top.

Above the list are three counts:

| Count                   | What it counts                                                     |
| ----------------------- | ------------------------------------------------------------------ |
| **Documents**           | Every document the current filters match.                          |
| **Expiring in 30 days** | Documents whose expiry date is between today and 30 days from now. |
| **Already expired**     | Documents whose expiry date has passed.                            |

### Columns

| Column            | What it shows                                                                                                              |
| ----------------- | -------------------------------------------------------------------------------------------------------------------------- |
| **Title**         | The document's title, with the name of the file that was uploaded beside it. Click the title to open the file.             |
| **Category**      | See [Categories](#categories).                                                                                             |
| **Filed against** | **The organization**, or the kind of record it belongs to, such as animal.                                                 |
| **Expires**       | **Expires** and the date, or **Expired** and the date in red once it has passed. A dash when the document does not expire. |
| **Added**         | When it was uploaded.                                                                                                      |
| **Actions**       | **Open**, **Download** and, if your role can change it, **Delete**.                                                        |

**Title** and **Actions** are always shown. Use **Columns** to hide or show the others.

**Open** shows the file in a new browser tab, where your browser can display it. **Download** saves it under its original file name.

### Filters

| Filter            | Options                                                                          |
| ----------------- | -------------------------------------------------------------------------------- |
| **Category**      | The seven categories.                                                            |
| **Filed against** | The kinds of record documents are filed against, among those your role can read. |
| **Expiry**        | **Expiring in 30 days** or **Already expired**.                                  |

Each option shows how many documents it would match. Press **Clear** beside a filter to remove it, or **Clear filters** above the list to remove them all.

Under **Views**, **+ Save current view** keeps the filters you have set under a name, so you can come back to them in one click. Saved views are your own.

## Uploading a document

**Upload a document** opens the upload form. On the Documents page, the button is at the top right and the document is filed against the organization. On an animal's **Documents** tab, the document is filed against that animal.

| Field                  | What it means                                                                                                                                               |

| **File**               | The file to upload. Required.                                                                                                                               |
| **Title**              | What people will see in the list, such as "Rabies certificate, 3-year". Required. Choosing a file fills this in with the file's name, which you can change. |
| **Category**           | What kind of document it is. **Other** unless you choose another. See [Categories](#categories).                                                            |
| **Expires (optional)** | The date the document stops being valid. Leave it empty for a document that does not expire.                                                                |

Press **Add document**.

### Files you can upload

One file per document, up to 10 MB. These kinds of file are accepted:

* Pictures: PNG, JPG or JPEG, WebP and GIF. SVG is not accepted.
* PDF.
* Word, Excel and PowerPoint files, old and new (DOC, DOCX, XLS, XLSX, PPT, PPTX).
* OpenDocument files (ODT, ODS, ODP), RTF, CSV and plain text (TXT).

A file of another kind is refused with a message naming its type. A file over the limit is refused with its size, and an empty file with **That file is empty**.

### Categories

Every document is in one of seven categories: **Medical**, **Legal**, **Identification**, **Financial**, **Insurance**, **Policy** or **Other**. The category is for finding documents again: it does not change who can see them.

## Expiry dates

An expiry date is for documents that lapse, such as a rabies certificate or an insurance policy. A document stops counting as expiring and starts counting as expired the day after its expiry date.

Wherever a document is listed, its expiry reads plainly: on an animal's **Documents** tab it says **No expiry**, **Expires** and the date (in amber once it is 30 days away or less), or **Expired** and the date (in red, with a warning mark).

Nothing is sent when a document is about to expire. Check **Expiring in 30 days** on the Documents page, or save it as a view.

## Documents on an animal

The **Documents** tab of an animal record lists the documents filed against that animal. Each shows its title, category, file name, size and expiry, and any notes kept with it. Click the title, or the button beside it, to open the file. See [the animal record](/animals/record).

## Changing or deleting a document

A document cannot be edited after it is uploaded. To correct its title, category or expiry, or to replace the file, upload it again and delete the old one.

To delete a document, press **Delete** on the Documents page, or the bin beside it on an animal's **Documents** tab. RescueConsole asks first, naming the document.
