# Reports

> Ask a question about your own records, read the answer as a table, download it as a CSV, and keep the question for next time.

**Reports** in the sidebar asks a question about records you can already open, and answers it now. Nothing is stored: a report runs when you press it, and the answer goes to you.

## What a report is

Three choices and an answer:

| Choice       | What it means                                                                                                             |
| ------------ | ------------------------------------------------------------------------------------------------------------------------- |
| **About**    | Which list the report reads. Only the ones your role can read are offered.                                                |
| **Count by** | What to group the rows by, such as species, size, or the month an animal arrived. One, or two to cross them into a table. |
| **Measure**  | **How many**, or money added up, such as adoption fees.                                                                   |

The answer is a table. **CSV** downloads the same thing for a spreadsheet, and **Save** keeps the question under a name.

  **Not recorded** is a row of its own. Twelve animals with no size on file is a real answer, and a report that hid them would be quietly wrong about the total.

## What you can report on today

### Animals

By status, species, breed, variety, sex, size, whether they are spayed or neutered, health status, how they arrived, coat length, primary colour, energy level, whether they are on your website, and by the month or year they arrived, left, or were added.

Measures: **how many**, **adoption fees, total** and **adoption fees, average**.

### Donations

By status, kind of gift, what it was taken through, how often it recurs, whether it was in honour or in memory of somebody, by **campaign**, **fund** or **appeal** by name, and by the month, quarter or year it was given.

Measures: **how many gifts**, **total given**, **average gift** and **how many donors**.

  **How many gifts** and **how many donors** are different answers about the same month. Two hundred gifts from sixty people is a fact worth seeing both halves of, and a report that could only count gifts would flatter any rescue with a few monthly givers.

A gift that belongs to no campaign is still counted, under **Not recorded**. Unrestricted giving is money too, and a report that dropped it would disagree with your bank.

More lists follow one at a time. Each one is a decision about what may be reported on rather than a switch we flick, which is why the list above is short and exact.

## What your role decides

A report reads through the list it is about, so it needs the same **See** permission that list needs. Somebody who cannot see Fundraising is not offered a donations report, and a report that asked for one would be refused by the server as well as absent from the page.

## Saved reports

A saved report belongs to the **rescue**, not to you: anybody here who can read the same records sees it and can run it. That is the difference between a report and a [saved view](/animals/list#saved-views), which is one person's way of looking at a list.

**Delete** is for whoever saved it, or an organization admin. Nobody else can remove somebody else's report.

## What is not here yet

  Said plainly so you are not looking for it:

  * **Narrowing a report** the way you narrow a list. A report covers everything in it for now; filters come from the list page you already filter.
  * **Charts.** The answer is a table and a CSV.
  * **Scheduled reports**, waiting for you or arriving by email.

  Nothing generated is stored today, which is deliberate: a report is a copy of information about real people, and the first one we keep needs a life span in the same breath.
