# The organization record

> What an organization's record holds: its details, its locations, the people at it, and where practices and vets are used across the app.

Open any organization from [the organizations list](/organizations/list) to reach its record. The top shows its name and its kind. Below are its details, its **Locations**, and the **People** at it, now and in the past.

You need **See** on Organizations to open a record, and **Change** on Organizations to edit it or its locations.

## Details

| Field        | What it means                                                                                                      |
| ------------ | ------------------------------------------------------------------------------------------------------------------ |
| Kind         | What the organization is. See [Kinds](/organizations/list#kinds).                                                  |
| Website      | A link to their website.                                                                                           |
| Relationship | What they are to your rescue, and the date it has been so. See [Relationships](/organizations/list#relationships). |
| Industry     | The kind of business they are in, with its code.                                                                   |
| Status       | **Active**, or **Inactive** for an organization that has been archived.                                            |
| Practice     | For a veterinary practice only: **Our primary practice** and **Takes emergencies**, when they apply.               |

The notes, when there are any, are shown below the fields.

## Editing an organization

**Edit** opens the same form used to add one, described in [adding an organization](/organizations/list#adding-an-organization), without the main location: an organization's places are edited on its **Locations** card. Press **Save changes**, or **Cancel** to leave without saving.

If you tick **Our primary practice** here, the practice that held it before loses it.

## Locations

The places the organization operates from: a practice with two clinics, a partner rescue with an intake centre and a thrift store. One of them is marked **Main**. The main location's address and phone are the organization's own, shown in the **Contact** column of the list.

**Add location** asks for:

| Field          | What it means                                                                                                                           |
| -------------- | --------------------------------------------------------------------------------------------------------------------------------------- |
| Name           | Such as "Downtown clinic" or "Front desk". Leave it blank if it is the only one.                                                        |
| Address        | **Country**, **Address line 1**, **Address line 2**, **City**, and two boxes named for the country, such as **State** and **ZIP Code**. |
| Country, Phone | The phone number at this place, with its country calling code.                                                                          |
| Notes          | Anything else about this place.                                                                                                         |

A location needs an address or a phone number. The address is checked when you save, as it is for a person: see [adding a person](/people/list#adding-a-person).

* The first location added is the main one. **Make main** moves the mark to another.
* **Edit** changes a location.
* **Remove** takes a location away, after you confirm. It is not available on the main location while there are others: make another one main first. Removing the last location clears the organization's address and phone. Removing cannot be undone.

## People

Everyone linked to this organization by an affiliation, in two lists: **Current** and **Previously**. Each shows the person's name, their title (or their relationship to the organization, such as **Employee** or **Board member**), and the dates it covers. Click a name to open their record.

Past affiliations stay listed on purpose. A medical record that names a vet at a practice was done by whoever worked there at the time, and this is where you find out who that was.

People are added to an organization from their own record, on the [Affiliations tab](/people/record#affiliations). When nobody has been added, this section says **Nobody is recorded at this organization yet.**

## Practices and vets elsewhere in the app

A veterinary practice in this directory, and the people affiliated with it, are what the rest of the app offers when it asks where animal care was done and by whom.

* **Medical records.** When a medical item is not done at **Our own clinic**, you choose the **Veterinary practice** from your practices, then the **Veterinarian** (or **Surgeon**, on a procedure) from the people currently affiliated with that practice. Your primary practice is listed first and marked **(ours)**; a practice that takes emergencies is marked **· emergency**. If nobody is currently recorded at the practice, the vet list is empty and says so. See [medical care](/animals/medical).
* **Spay or neuter.** The medical summary's **Clinic** is chosen from your veterinary practices. See [the animal record](/animals/record#medical-summary).
* **Events.** An event can be held at an organization, chosen as **Or a venue**. See [events](/events/events).
* **Employers.** A person's **Employer (from the directory)** is chosen from this directory. See [the person record](/people/record#more-details).

Because the vet list on a medical record comes from current affiliations, record a vet's arrival and departure on their [person record](/people/record#affiliations): add an affiliation when they start at a practice, and **End** it when they leave. Ending, rather than deleting, keeps older medical records pointing at the right person.
