# The people list

> Finding people, filtering and sorting the list, changing many at once, exporting, and adding a new person.

**People** in the sidebar opens the list of everyone your rescue deals with: adopters, donors, volunteers, fosters, and anyone else you keep a record of. Each row is one person. Click a row to open [their record](/people/record).

You need **See** on People to open the list. Adding, editing and deleting people need **Change** on People. Permissions are set per role under [Settings → Team & volunteers → Team roles](/settings/team).

## The numbers at the top

Four counts sit above the list: **Adopters**, **Donors**, **Volunteers** and **Results**. All four follow your search and filters, so they always describe the people you are looking at. A person can hold several roles, so the three role counts can add up to more than **Results**.

## Roles

A role says what somebody is to the rescue. There are four: **Adopter**, **Donor**, **Volunteer** and **Foster**. A person can hold any number of them, or none. Each role they hold adds a section to the **Roles** tab of [their record](/people/record#roles), showing what they have done in that role.

You can give or take away a role yourself, on the person's form or in bulk. RescueConsole also adds one when the person does the thing it names:

| Adopter   | They apply to adopt, or an adoption to them is recorded.   |
| Foster    | They apply to foster, or a foster home is set up for them. |
| Donor     | A donation from them is recorded.                          |
| Volunteer | They are booked onto a shift.                              |

## Searching

The search box, **Search name or email…**, finds people whose first name, last name or email address contains what you type.

## Filters

The panel on the left filters the list. Each option shows how many people you would get if you chose it.

| Filter | What it does                              |
| ------ | ----------------------------------------- |
| Role   | People who hold that role.                |
| Status | **active**, **inactive** or **archived**. |
| Tags   | People carrying any of the tags you tick. |

**More filters** opens a panel for everything else. On the left is every field you can filter on, with a search box; tick the ones you want and set their values on the right, then press **Apply filters**. The fields offered are **Name**, **First name**, **Last name**, **Email**, **Phone**, **Created** and **Last updated**, your own custom fields, and the built-in person questions that have a fixed set of answers, such as **Home type**, **Fenced yard** or **Donor type**. A date field takes a from and a to date. When more filters are in use, the button shows how many.

## Columns and sorting

**Columns** chooses which columns the list shows. **Name** is always shown. The others are **Email**, **Phone**, **Roles**, **Tags**, **Status**, **Added** and **Last updated**. **Reset to default** puts back the columns the list started with. Your choice is remembered in this browser only.

Click a column heading to sort by it. **Name**, **Email**, **Status**, **Added** and **Last updated** can be sorted. The list starts with the most recently added people first.

## Changing many people at once

With **Change** on People, each row has a checkbox. Tick the people you want, or tick the box in the heading to take the whole page. When the whole page is ticked and there are more results beyond it, **Select all … matching** takes every person your filters match.

**Edit fields…** opens **Bulk edit selected**. Tick a field on the left and choose its value on the right, then press **Update**. A field you do not tick is left alone.

| Field         | What it does                                                                 |
| ------------- | ---------------------------------------------------------------------------- |
| Status        | Sets every selected person to that status.                                   |
| Add a role    | Gives every selected person that role. The roles they already hold are kept. |
| Remove a role | Takes that role away from every selected person. Their other roles are kept. |

A person who already has the value is counted as "already set" rather than changed. One change can reach at most 200 people; if more are selected, the change is refused and nothing is applied.

## Deleting people

With **Change** on People, each row also has two icons: the pencil opens the record, and the bin deletes that person after you confirm. To delete several, select them, open **Edit fields…**, and press the delete button at the top of **Bulk edit selected** (it reads, for example, **Delete 3 people**).

A deleted person stops appearing in lists, reports, the export and the duplicate finder. Their donations, adoptions and volunteer hours stay exactly where they are. There is no screen that brings a deleted person back.

<Warning>
  A person who can sign in to RescueConsole cannot be deleted here. Remove their access under **Settings → Team & volunteers → Team members** first, which also signs them out. If any person in a bulk delete can sign in, the whole delete is refused.

## Export

**Export CSV** downloads `people.csv`: every person matching your current search and filters, newest first, up to 5,000 rows. The file has these columns: `id`, `first_name`, `last_name`, `email`, `phone`, `roles`, `status` and `created_at`. It does not follow your column choice.

## Adding a person

**New person** opens a panel beside the list. Fill in what you know and press **Create person**.

Which fields the form shows, their order, and which are required are set by your rescue under [Settings → Data & customization → Record layouts](/settings/record-layouts). Out of the box, nothing on the form is required, apart from any custom field that was created as required.

| Prefix, First name, Last name, Suffix | The person's name in four parts. Prefix and suffix suggest common ones (Dr, Mx, Jr, DVM) and accept anything. Under the boxes, **Shown everywhere as** previews the name the record will carry. |
| Email                                 | Their main email address. It must be a valid address.                                                                                                                                           |
| Country, Phone                        | Their main phone number, with its country calling code. The box keeps only digits, so what you see is what is stored.                                                                           |
| Address                               | **Country**, **Address line 1**, **Address line 2**, **City**, and two boxes whose names follow the country: for the United States, **State** and **ZIP Code**.                                 |
| Roles                                 | **Adopter**, **Donor**, **Volunteer** and **Foster**. Tick any that apply.                                                                                                                      |
| Preferred contact                     | How they would like to hear from you: **Email**, **Phone call**, **Text message**, **Post**, **In person**. Tick any that apply.                                                                |
| Date of birth                         | Only needed for age-gated volunteer roles, which refuse a booking without it.                                                                                                                   |
| Employment                            | **Occupation**, **Employer**, **Employer (from the directory)**, **Employer phone** and **Employer email**. The directory is your [organizations](/organizations/list).                         |
| How they found us                     | **Referred by**: a person, a vet, an event or a website.                                                                                                                                        |
| Your custom fields                    | Any person fields your rescue has added, unless a record layout places them in a role's section instead.                                                                                        |

**Check this address** checks the address and, when it finds a standardized spelling of it, shows the differences and offers **Use this version**. Only addresses in the United States and Canada can be checked. You do not have to press it: when you save, an address you added or changed is checked, and the standardized spelling is saved when one is found. If the address cannot be checked, it is saved exactly as you typed it.

### What happens when you create a person

The email and phone you entered become their main email and main phone, and the address becomes their primary address. If one of your [workflows](/settings/workflows) is set to start when a person is added, it starts on the new record.
