# Organization settings

> Your organization's profile, logo and tax details, the places you operate from and the housing built there, and the partner rescues you transfer animals with.

The **Organization** group at the top of Settings holds the pages about the rescue itself: **General profile**, **Locations**, **Public page** and **Partner rescues**. This page covers three of them. **Public page**, which decides what your public website shows, has its own guide: [the public site](/public-site/overview).

## General profile

**Settings → Organization → General profile** is your organization's name, logo, contact details and local conventions. It is also the page Settings opens on.

Only an **Organization admin** can see or change it. Anyone else who opens it is told that only an organization admin can view or edit these settings.

The page is in several parts, and each part saves on its own. The logo saves the moment you choose a file; the social links and the tax details each have their own button; everything else is saved with **Save changes**.

### Logo

| Field | What it means |
| -------------- | ---------------------------------------------------------------------------------------------------------- |
| **Main logo** | Shown on your public page and on adoption paperwork. PNG, JPEG, WebP or GIF. A landscape image works best. |
| **Small icon** | Used as the browser tab icon, and anywhere the full logo will not fit. |

Press **Upload** to choose a file. Once a file is there the button reads **Replace**, and **Remove** takes it away. Each change saves straight away.

If your logo was set up as an address in **Logo URL** (below) and nothing has been uploaded, the preview shows that image with the words "Currently linked from another site". Upload the file to keep it here instead, so your public page does not break if the other site moves it.

### Identity

| Field | What it means |
| --------------------- | ------------------------------------------------------------------------------------------- |
| **Organization name** | Required. The name shown at the top of every page. |
| **Slug** | Your organization's short identifier. It is shown for reference and cannot be changed here. |
| **Logo URL** | An address for a logo kept on another site. Used only while no main logo is uploaded. |
| **Description** | A few sentences about your organization. |

### Contact

| Field | What it means |
| -------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Email**, **Phone** | How people reach the organization. |
| **Address** | The address of your main location. It is the same address as on **Locations**: editing it here changes it there. It is not shown publicly unless you choose to show that location on your public page. |

### Locale

| Field | What it means |
| ---------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Country** | Sets the labels on address fields, and suggests a currency when **Currency** is empty. |
| **Currency** | Required. The currency your fees and donations are in. |
| **Date format** | How dates are written: **Follow each person's device**, or one of four fixed orders such as MM/DD/YYYY or D MMM YYYY. |
| **Timezone** | When scheduled things happen. People can still read times in their own zone. |
| **Animal age display** | How an animal's age reads on its record: **Estimated age** ("2 years 3 months"), **Date of birth**, **Age range** (the name of its age group, such as Baby or Senior), or **Automatic** (the age, with the birth date beneath it when one is recorded). |
| **Weight unit** | **Pounds (lb)** or **Kilograms (kg)**. |

Which animals you work with, animal ID numbering, statuses and age groups are not here. They are under [Animal management](/settings/pet-configuration) and [ID format](/settings/cage-cards-and-ids#id-format).

### Social links

**Website**, **Facebook**, **Instagram**, **X**, **YouTube** and **TikTok**. Each is shown on your public page. Paste the address of your profile; if you leave off `https://`, it is added for you. Only web addresses are accepted. Leave a box empty to remove that link, then press **Save social links**.

### Tax and receipts

Used on donation receipts. Only organization admins can see or change this part.

| Field | What it means |
| ----------------------------------- | ------------------------------------------------------------------- |
| **Legal name** | Your registered name, if it differs from the name you go by. |
| **Tax ID** | Your EIN, or the equivalent where you are. |
| **This organization is tax-exempt** | Tick it if your organization is tax-exempt. |
| **Receipt signatory** | The name that appears under the receipt. |
| **Receipt footer** | Printed under the total, usually the line your accountant asks for. |

Press **Save tax details** to keep them.

## Locations

**Settings → Organization → Locations** lists the places your organization operates from: a shelter, an adoption center, a store that hosts your animals, a mailing address. The same list is on [Our organization](/organizations/ours) in the Organizations workspace, and a change made in either place shows in both.

These are the places a person can come to. The kennels, rooms and cages an animal is kept in are [housing](/animals/housing), which is built inside a location (see [Housing at a location](#housing-at-a-location) below).

Anyone in your organization can see this list, because volunteers need to know where to turn up. Only an **Organization admin** can add, change or remove a location.

Each location in the list shows its name, its kind, what it is inside (if anything), its address, hours and directions, and in words whether it is **Shown on your public page** or **Not shown publicly**.

### The main location

The first location you add becomes your main location, marked **Main location**. Its address is the one that appears on your public page and on adoption flyers, and it is the **Address** on the General profile.

To make another location the main one, press **Make main** on it. A retired location cannot be the main one.

### Adding a location

Press **Add a location**, fill in the form and press **Add location**. **Edit** on a location opens the same form.

| Field | What it means |

| **Opening hours** | Tick each day it is open and set the opening and closing times, or tick **By appointment only**. **Anything else about your hours** holds the exception, such as "Closed on public holidays". |
| **Finding it** | Directions for a first visit, such as "Around the back, past the blue gate". |
| **Show this on our public page** | Off unless you tick it. When it is on, anyone visiting your site sees this address and its hours. |

### Showing a location publicly

A location is never published unless somebody chooses to. A rescue run from a founder's home can record that address without it appearing anywhere. Use **Show on public page** or **Hide from public page** on the location to change it without opening the form.

### Retiring and removing a location

**Retire** takes a location out of use and keeps its record. A retired location is hidden from the list until you tick **Show retired**, and **Restore** brings it back. The main location cannot be retired.

**Remove** deletes a location. You are asked to confirm, and it cannot be undone. The main location cannot be removed: make another location the main one first.

### Housing at a location

Under each location is its **Housing**: the rooms, rows, cages, cubbies and kennels built there, and how many animals each holds. The line beside it reads either **Nothing built yet** or how many places there are, how many are free and how many animals are there now. **See it at a glance** opens the [housing board](/animals/housing).

Anyone with **Change** on Animals can press **Build housing** (or **Edit housing** once something is built). Others see **Show housing**, which lists what is there without the controls.

To add something, press **+ Add inside** on the location, room or row it goes in.

| Field | What it means |
| ------------ | ----------------------------------------------------------------------------------------------------------------------------- |
| **Name** | What it is called. When you add more than one at once, each gets a number after the name, for example "Cubby 1" to "Cubby 4". |
| **Kind** | **Building**, **Room or area**, or **Cage, cubby or kennel**. |
| **Holds** | How many animals it takes. **0** means it is not counted, which suits a building or a row that only holds cubbies. |
| **How many** | Up to 20 at a time. |

Between each pair of cages that sit side by side in the same row is a switch that reads **Tunnel open** or **Tunnel closed**. Open the tunnels to join neighboring cages into one larger space; close one to split them again. A row of four cubbies can be four separate spaces, two and two, or one space.

On each item:

* The arrows move it up or down in the order it stands.
* **Edit** changes its name, kind and how many it holds.
* **Out of service** stops it being used for now, and **Back in service** returns it.
* **Retire** is for a cage that is gone for good, and **Restore** brings it back.
* **Remove** is for one made by mistake. Anything an animal's record names cannot be removed; retire it instead.

Nothing can be taken out of service or retired while an animal in care is inside it, and a room is retired only once everything inside it is. Taking a cage out of service or retiring it closes its tunnels.

## Partner rescues

**Settings → Organization → Partner rescues** lists the rescues you transfer animals with. Once two rescues are partners, either can offer the other an animal, with its records, from the animal's own record. The offer and the hand-over are described in [Transfers](/animals/transfers).

There is no list of rescues to pick from. You link with a partner by inviting somebody who works there, by email.

Anyone who can open the page sees your partners. Inviting, answering an invitation and ending a partnership need **Configure** on Organizations, which the **Organization admin** and **Director** roles have.

### Inviting a partner

1. Under **Invite a partner**, enter **Their email address**: somebody at the other rescue who can accept for them. It cannot be your own address.
2. Optionally write **A note to them**: who you are and why you would like to link.
3. Press **Send the invitation**.

They are sent an email asking them to sign in to their own organization and open **Settings → Organization → Partner rescues**. If they already use RescueConsole with that address, they are also told on their notifications bell. The email carries no link: the invitation waits for whoever signs in with that address.

Your invitations still waiting are listed under the form, each with the date it was sent. **Withdraw** cancels one. You can have only one invitation waiting for the same address; withdraw it to send another.

### Answering an invitation

An invitation to you appears under **Invitations waiting for you**, with the other rescue's name, their note and the date it was sent. Press **Accept** or **Decline**. The person who invited you is told which you chose.

Only the person the invitation was sent to can answer it, signed in with that email address, and they need **Configure** on Organizations. Anyone else sees that an organization admin can answer it.

### What a transfer copies

Being partners shares nothing by itself. Records move only when one rescue offers an animal and the other accepts it. Then a new record is made at the receiving rescue, and the sending rescue keeps its own record, marked **Transferred Out**.

| Copied to the receiving rescue | Not copied |
